RIS TRAVEL
1. Booking and Payment
Submitting a registration form does not guarantee a place. Your booking is confirmed once the required deposit has been received and verified and written confirmation has been issued.
Prices are in Canadian dollars unless otherwise stated. Your booking details will specify the package, room occupancy, deposit, payment deadlines and any processing fees.
Deposits are non-refundable if you cancel, subject to the exceptions below and applicable law. Failure to meet payment deadlines may result in cancellation after written notice, with the disclosed cancellation charges applying.
2. Cancellation by the Traveller
Cancellation requests must be emailed to info@ristravel.com and take effect when received.
The deposit is non-refundable for voluntary cancellation. Additional cancellation charges follow the schedule provided before payment and may reach the full package price once services become non-refundable.
Illness, visa refusal, personal circumstances, missed departures or a decision not to travel do not automatically qualify for a refund. Refunds are generally unavailable for voluntarily unused services or early departure, except where required by law.
Bookings cannot be transferred to another person. Name corrections are subject to supplier approval and any applicable charges disclosed before the correction.
3. Cancellation by RIS Travel
RIS Travel may cancel a departure if minimum participation is not reached or the trip cannot proceed.
If RIS Travel cancels before departure because of insufficient bookings or another commercial decision within its control, amounts paid for the cancelled package will be refunded in full. An alternative trip or credit may be offered, but acceptance is optional.
Cancellation arising from emergencies or events beyond reasonable control is addressed below.
4. Emergencies, Geopolitical Events and Travel Disruption
In the event of a national emergency, armed conflict, security threat, civil unrest, government travel advisory or restriction, border or airspace closure, public health emergency, natural disaster, or another extraordinary event beyond reasonable control that materially affects the safety or feasibility of the journey, RIS Travel reserves the right to cancel, postpone, reroute or modify the trip as reasonably necessary.
RIS Travel will consider official advice, supplier operations and traveller safety, and communicate significant developments and available options as promptly as reasonably possible.
Where legally permitted, refunds will depend on unused, uncommitted funds and amounts recoverable from airlines, accommodation providers and other suppliers, accounting for actual non-recoverable costs without duplicate deductions. RIS Travel will make reasonable efforts to recover available funds and explain any deductions. A full refund cannot be guaranteed in these circumstances.
Where applicable law requires a refund or another remedy, that right takes priority and will not depend on supplier recovery. A credit or postponed departure will not replace a legally required cash refund without the traveller’s agreement.
Disruption during the journey may result in additional accommodation, transport or other expenses. These may be payable by travellers where not covered by the package, suppliers, insurance or applicable law.
5. Itinerary, Accommodation and Scholar Changes
Flight schedules, transport arrangements, visits and program timings may change because of local conditions or operational requirements. If an advertised hotel becomes unavailable, RIS Travel will seek a suitable alternative of a comparable standard.
Scholar participation may change because of illness, travel disruption or other circumstances. RIS Travel will make reasonable efforts to arrange a suitable replacement.
Significant changes will be communicated promptly. Any cancellation, refund or alternative-service rights required by law will be respected.
6. Package Inclusions and Independent Travel
Only services expressly listed in your selected package are included. International flights are included only in the Full Package. Land Package travellers must arrange their own flights and arrive in time to join the group itinerary.
Meals, visas, insurance, personal expenses, excess baggage, optional activities and independent transfers are excluded unless expressly included in writing.
Obtain confirmation that the departure will proceed before purchasing separate, non-refundable arrangements. Independently booked services are outside the package refund arrangements, except where required by law.
7. Passports, Visas and Permits
Travellers must provide accurate details matching their passports and obtain all required visas, transit permissions, health documents and other approvals.
Requirements may change, and assistance with an application does not guarantee approval, boarding or entry. Requested documents must be submitted by the stated deadlines.
Access to the Rawdah and other restricted religious sites is subject to permits, availability and Saudi authorities and cannot be guaranteed unless expressly confirmed.
8. Rooms, Children and Special Requests
Prices depend on confirmed room occupancy. Bed configurations, connecting rooms, views and other preferences are subject to availability unless guaranteed in writing. Changes affecting occupancy may affect the price and will be discussed before acceptance.
Child and infant rates and bed-sharing arrangements are those confirmed for the selected package. Parents and guardians remain responsible for supervising children throughout the journey.
9. Health, Accessibility and Insurance
Umrah can involve substantial walking, crowds and physically demanding travel. Please disclose accessibility, medical-support and dietary requirements before booking so available arrangements can be assessed. Personal care is not included unless specifically agreed. Dietary requests will be communicated, but an allergen-free environment cannot be guaranteed.
RIS Travel strongly recommends insurance covering emergency medical care, cancellation, interruption and repatriation. Check exclusions relating to pre-existing conditions, conflict, government advisories and events already known when purchasing insurance. Do not assume geopolitical disruption is covered.
10. Traveller Responsibilities and Legal Rights
Travellers must follow local laws, site rules and reasonable safety instructions and treat others respectfully. Serious misconduct or behaviour that endangers others may result in removal from an activity or the group.
Supplier conditions apply where disclosed before booking. RIS Travel remains responsible for its own contractual and legal obligations. Nothing in these terms excludes liability or consumer rights that cannot lawfully be excluded.
Please report concerns promptly so RIS Travel can assist. Updates to this page do not retrospectively change existing bookings.
